About Rosa Luxemburg Stiftung

The Rosa Luxemburg Stiftung (RLS) is one of the six major political foundations in the Federal Republic of Germany, tasked primarily with conducting political education both at home and abroad. The foundation is affiliated to Die Linke, a democratic socialist party in the German parliament.

Since its founding in 1990, the foundation’s work has adhered to the legacy of its namesake, German socialist leader Rosa Luxemburg, and stands for democratic socialism with an unwavering internationalist focus. The foundation is committed to a radical perspective emphasizing public awareness, education, and social critique. It stands in the tradition of the workers’ and women’s movements, as well as anti-fascism and anti-racism.

Based on the firm belief that social change requires a reflective confrontation with today’s capitalist society as a whole, the foundation strives to develop alternative concepts and approaches for a comprehensive process of social transformation enabling the creation of a more united and just society. Education and training in democratic socialist politics, analysis, information, and policy advice are therefore the foundation’s basic tasks, which we pursue and implement at the regional, national, and international levels.

Scope of work

The RLS Brussels office seeks a contractor to provide administrative support for a global demilitarisation campaign. The contractor will assist the campaign team with organisational and communication-related tasks to ensure smooth coordination and timely responses to partners and interested stakeholders.

 

  1. Administrative Support
  • Support the campaign team with day-to-day administrative tasks.
  • Coordinate internal and external meetings, including scheduling and calendar management.
  • Assist in organising online meetings and events related to the campaign.
  • Maintain clear records of contacts, meetings, and relevant campaign documentation.

 

  1. Communication and Correspondence
  • Draft and respond to emails related to the campaign.
  • Serve as a contact point for individuals and organisations interested in the campaign.
  • Provide information and respond to requests from partners, participants, and the general public.
  • Support internal communication and coordination among campaign partners.
  1. Agenda and Workflow Coordination
  • Assist the campaign team in coordinating timelines and agendas.
  • Elaborate the campaign toolkit.
  • Support the project manager in tracking tasks and ensuring deadlines are met.
  • Help coordinate activities across different team members and partner organisations.
  1. Information Management
  • Organise incoming requests and inquiries related to the campaign.
  • Maintain updated documentation and shared files.
  • Support the preparation of internal notes, summaries, or briefings when needed.

The contractor will work closely with the RLS project manager (PM) in charge of the campaign to ensure the successful delivery of all elements.

Deliverables

The contractor will be responsible for delivering the following:

  1. Elaboration of campaign toolkit
  2. Timely coordination of meetings and agendas related to the campaign.
  3. Drafted and managed email correspondence with stakeholders and interested parties.
  4. Organised documentation and contact lists related to campaign activities.
  5. Support in managing inquiries and requests from external partners and the public.
  6. Periodic summaries of administrative activities and coordination tasks.
  7. Submit invoices for completed work in instalments, based on the completion of specific deliverables or time periods, as outlined in the agreement.

Your profile
We are looking for a contractor who meets the following criteria:

  • Experience in administrative support, project coordination, or a similar role.
  • Strong written and spoken English skills.
  • Excellent organisational and time management skills.
  • Experience with email communication, scheduling, and digital collaboration tools.
  • Ability to work independently and manage multiple tasks efficiently.
  • Strong attention to detail and reliability.
  • Experience working in international teams or advocacy projects is an asset.
  • Interest in social justice, demilitarisation, peace initiatives, anti-militarism, or international advocacy.
  • Knowledge of additional languages (especially Spanish) is an advantage.

Compensation

Estimated workload: approximately 40 hours per month

Rate: 800€ monthly (freelance contract, invoicing required)

Selection Criteria
The selection will be based on the following criteria:

Administrative and organisational experience – 50%
First experience in administrative coordination, scheduling, and managing communications.

Communication skills – 50%
Ability to write clear and professional emails, respond to inquiries, and communicate effectively with diverse stakeholders and attention to detail.

Each of these criteria will be assessed through the candidate’s CV, portfolio, and if needed interview process.
